Privacy Policy

The Educators Well respects your privacy. This policy explains what personal information we collect, why we collect it, how we look after it, and the choices you have. It applies to this website, our free resources, our emails and our online events.

What we collect

We collect information you choose to give us and limited technical information collected automatically when you use our website. Depending on what you use, that may include:

  • Your first name and email address when you request a free guide or resource, join a waitlist, subscribe to our emails or register for an event.
  • Contact and enquiry details when you send us a message, book a session or ask about first aid training.
  • Account and membership details if you create an account or enrol in a paid programme, including a record of your progress.
  • Business details if you apply to offer a member benefit or partner with us.
  • The details you give us when you contribute an activity, experience or recipe to The WELL Collaboration Project, including your name, email address, role, region, any photographs you choose to attach, and how you asked to be credited.
  • Basic technical information such as the pages visited and the campaign or link that brought you here, used to understand which pages are useful.

We do not intentionally request sensitive health information through our guide, event-registration or general marketing forms. If you choose to share health, accessibility or wellbeing information through another part of the website, we will only use it for the purpose for which it was provided and handle it with additional care. Our wellbeing tools are reflective educational supports only and do not diagnose or treat any condition.

Why we collect it

  • To send you the resource, confirmation or information you asked for.
  • To provide and support memberships, programmes, bookings and training.
  • To send supportive emails and invitations when you have agreed to receive them.
  • To answer your questions and keep records we are required to keep.
  • To improve our website and understand which resources educators find helpful.

Payments

Payments are processed by our payment provider. We never see or store your full card details. We keep only the record of what was purchased and when.

Who we share it with

We do not sell your personal information, and we do not share it for other organisations’ marketing. We use trusted service providers to run the website, host our database, send our emails, process payments and run online events, and they may only handle your information to provide those services to us. We may also disclose information where the law requires it.

Overseas processing and storage

Some of the personal information we hold is processed, stored or accessed outside Australia by the technology providers we use to run this website.

  • Our database, accounts and file storage are hosted on infrastructure located in Japan (Tokyo region).
  • The website itself is delivered through a global content and edge network, so pages may be served from servers in a range of countries, including outside Australia.
  • Our email delivery, payment processing and online event tools are provided by trusted international providers who may process information outside Australia, including in the United States and other countries where they operate.

Where the exact location of processing cannot be confirmed, we work on the basis that some trusted technology providers may process information outside Australia. We take reasonable steps to protect your information, including using reputable providers, limiting the information they receive to what is needed for the service, and requiring them to handle it only for the purpose of providing that service to us.

Our emails

Every marketing email we send includes an unsubscribe link, and you can unsubscribe at any time. Some emails are not marketing and cannot be unsubscribed from separately, such as a receipt, a booking confirmation or an account notice.

How we protect and keep your information

Your information is stored in secured systems with access limited to those who need it. Files you upload to us are kept in private storage. We keep personal information only for as long as it is needed for the purpose it was collected, or for as long as we are required to keep it, and then remove it.

If you contribute to The WELL Collaboration Project, your contribution is reviewed before anything is shared, and nothing is published automatically. Your full contact details are kept privately with us and are never published. Only the credit you chose is ever shown, and if you asked to remain anonymous your contribution appears as “Shared by an educator”. Photographs you attach stay in private storage unless they are reviewed and included with a published contribution.

Cookies and analytics

We use a small amount of browser storage so that the site works properly, keeps you signed in and remembers what you were doing. We also record simple page-view information so we can see which pages are useful. You can clear or block browser storage at any time, though some parts of the site may then not work as expected.

Our website statistics are our own and stay with us. When you visit a public page we record the page address, the day and time, a general device type (mobile, tablet or desktop), the website that referred you if there was one, and any campaign label included in the link you followed. We also store two random identifiers on your own device so we can tell one visit from another and recognise a returning visit: a visit identifier that ends after 30 minutes of inactivity, and a visitor identifier that expires 90 days after your last visit. Both are random values with no meaning, they are stored in an encoded form on our side, and they are never shared with anyone else.

We also record when a main button or link on a public page is used — for example a “Secure my place” button, an enquiry link, a download or a recommended business link. We record only which button it was, the page and section it sits in and where it leads, along with the same random visit identifier described above. We do not record ordinary interface clicks such as opening menus or tabs, and nothing about these records identifies you.

We do not store IP addresses, we do not use browser fingerprinting, and we do not use Google Analytics, Meta Pixel, advertising trackers or any other cross-site tracking technology. Our statistics are used to understand how the website is working overall, not to follow individual people. Clearing your browser storage removes these identifiers immediately.

If advertising or third-party tracking technology is ever introduced, we will update this policy and provide any additional notice or consent controls that are appropriate before it is enabled.

Your choices and rights

You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. You can unsubscribe from our marketing emails at any time using the link in any email. If you have an account, you can update many of your details yourself.

Children

This website is intended for adults working in or with the early childhood and care sector. We do not knowingly collect personal information from children.

Changes to this policy

We may update this policy from time to time. The current version is always the one shown on this page.
